2023 Exhibitor FAQ

How do I reserve exhibitor booth space?
Registration opens January 18, 2023. Register online to reserve your space for the 2022 conference. A 50% deposit will be required at checkout to confirm reservation.

Housing

Housing for the 2023 TEPSA Summer Conference opens in January. New this year – to ensure hotel rooms are available for conference participants, proof of conference registration and payment/purchase order will be required before reserving a hotel room.

Exhibit Dates and Show Hours

Tuesday, June 6
2:00 – 7:00pm – booth set up

Wednesday, June 7
6:00am – 9:00am – booth set up
9:00am – 1:00pm – exhibit hall open
1:00 – 2:30pm – exhibit hall closed (exhibitor lunch on your own and keynote)
2:30 – 5:30pm – exhibit hall open
4:45 – 5:30pm – Bites and Brews event in the exhibit hall

Thursday, June 8
9:00 am – 3:00 pm exhibit hall open
2:15pm – Grand Prize Giveaways

Exhibiting Fees

What is included in the exhibitor package?

  • Company ID sign
  • 8’ back drape, 3’ side drape *Island booths do not contain pipe and drape*
  • 5 exhibitor badges per 10×10 booth space.
  • Pre- and Post-attendee list upon request. Includes: name, title, school, school address and school district.

Booth Staff
5 exhibitor badges per 10×10 booth are included in your booth package. The fee to register additional booth staff is $75 per badge. A badge request form will be sent in March along with booth assignments.

Can exhibitors register to attend sessions?
Due to limited space, vendors, and contractors are not permitted to register for learning sessions.

Can I host a giveaway at my booth?
Yes, absolutely! Prize drawings and presentations may be used to draw interest to your exhibit booth. However, noise and other activities should not interfere with the business environment of the exhibitions.

Will there be sponsorship opportunities?

Suitcasing Policy
Non-exhibiting vendors and suppliers who have not rented exhibit space are not allowed to advertise, display products and/or services, distribute literature, or solicit business in the exhibit hall or at the conference site.

Payment
A 50% deposit will be required at checkout in order to confirm reservation. Registrations received without a deposit will automatically be cancelled. Remaining balance due no later than May 1.

Refund
Cancellation notification must be submitted in writing to Kristina by May 1, 2023. All monies paid for space will be refundable, less a $100 processing fee for each booth. No refund of booth rental will occur for any space that is not canceled in writing prior to the deadline. All refunds less the cancellation fee will be issued after the event has concluded.
